Setting up Form field identifiers to link to Certificates in RegApps

This guide provides step-by-step instructions for creating form field identifiers in the RegApps (Regulatory Applications) module and linking them to generated PDF certificates.

Part 1: Creating Form Field Identifiers

Identifiers are unique strings used to tag data fields so they can be reused across the system, such as for pre-populating forms or generating certificates.

1. Access Form Design: Navigate to Registry > Admin > Registry Object Forms.

2. Edit a Field: Open the form you wish to modify and select a specific field to edit its properties.

3. Assign the Identifier: In the field configuration panel, locate the Identifier component.

4. Enter a Unique String: Type a descriptive name for the field.

   • Best Practice: Use a hierarchical "dot" format (e.g., Aircraft.SerialNumber or Applicant.LastName).

5. Save: Save the field and the form to apply the changes.

Tip: To see which identifiers are currently active for a record, open the Registry Object details page and click the View Attributes button at the bottom.

Part 2: Linking Identifiers to a Certificate

Linking is achieved by matching the Centrik identifier to a corresponding form field in a PDF template.

1. Prepare the PDF Template

• Software: Use Adobe Acrobat Pro to add form controls to your PDF.

• Naming Rule (Critical): Because PDF form fields do not support periods, you must replace the dots in your Centrik identifiers with forward slashes in the PDF.

  • Centrik Identifier: Aircraft.MakeAndModel

  • PDF Field Name: Aircraft/MakeAndModel

• Field Properties: Set all PDF form fields to Read-Only to ensure the generated certificate cannot be edited by the recipient.

• QR Code Validation: To include a validation QR code, add a field named QRCode@ (case-insensitive) to the PDF.

2. Upload and Link in Centrik

1. Navigate to Registry > Admin > Registry Object Types.

2. Select the relevant Object Type and locate the Certificates section.

3. Upload Template: Upload your prepared PDF file.

4. Set Default (Optional): You can set a default certificate for specific RegApp forms under Registry > Application Forms.

3. Preview and Publish

1. Open a Registry Object and click Preview on the certificate template to verify that the data is populating correctly.

2. Click Publish to generate the final snapshot. This will:

   • Assign a unique Certificate ID.

   • Store a permanent PDF snapshot.

   • Automatically email the operator with a download link.
