All Documents
Overview:
The All Documents section allows users to browse and efficiently locate the documents to which they have permission to access.
The ability to create, organise, or manage documents as well as folder structures applies only to users possessing the appropriate permissions. All other users are restricted to viewing only that which they are authorised to access.
Other features include filtering, tagging, and searching capabilities.
Layout:
1 - Columns: The list of folders and documents is organised by several columns (Name, Status, Expiry Date, Document Type and Actions), providing a structured way to display items.
Furthermore, users can sort documents and folders using the columns (e.g. alphabetical or date order).
2 – The available Actions for folders simply allows users to Rename, Move or Delete the appropriate folder.
The Actions for specific documents offers the additional options, as well as Move and Delete.
Info – Loads a right hand panel where users can Add tags, view document Details, Content and Settings.
Manage – Selecting this option navigates the user to an area where they can view the Current Active Version, Version History, Change Requests as well as Managing Document Attributes and editing other Settings (e.g. Allow Download and Allow Print).
Track – An area where users can select to view tracking information for a specific document, broken into To Do, Blocked and Overdue categories. The view also offers extensive search and filter tools.
3 - + Create: This button is used to create any new document or folder.
4 - Search panel: Allows users to enter text queries to find matching documents and folders.
5 - Switching between Folders / Document Types / Tags view: Users can choose how they prefer documents to be grouped by selecting this icon. The options include being grouped by Type, Tags or folder location.
Document Types and Tags is a different way to view and find logical groupings of documents.
6 - Type and Tags: Alternatively, users can maintain the folder view but filter by specific Type and / or Tags.
Administrators can create managed tags for consistent categorisation in the document library. Users can tag documents for quick identification by topic, such as regulatory area, OEM, or aircraft type.
