Overview
The scheduling feature in the Training module allows you to plan and track when the next training session for a qualification will take place. It also enables you to add comments about the scheduled training.
If you'd like to use this feature, contact the Support Team to enable it for your system.
How Scheduling Works
When enabled, the scheduling feature adds a Scheduled Training section to each user’s training record. This section consists of two columns:
- Date: The scheduled date for training.
- Comment: An optional text field for any additional information about the training (e.g. course name, location, etc.).
Permissions Required
To enter scheduled training dates and add comments, you must have the Manage Training access right for the relevant training subsystem.
- Users with the appropriate permissions can add/edit the date and comment fields in the training record.
How to Schedule Training
1 - Navigate to the Training Module:
- Select the Training module.
- Access the relevant training record for an individual within the appropriate subsystem.
2 - Enable Edit mode:
- Ensure you have the necessary system permissions.
- Activate Edit mode to allow changes to the date and comment fields.
3 - Enter Information:
- Date: Enter the intended date for the training scheduled.
- Comment: Optionally, add any relevant details about the training, such as location or course name.
4 - Effect on Centrik alerts:
- Once a scheduled date is added, any overdue/expired qualifications (marked with red alerts) will change to orange alerts.
- This helps distinguish between qualifications that are overdue and those that have training scheduled for revalidation.
Other Features
Upcoming Expiries & Scheduled Training Tabs
When scheduling is enabled, two new tabs will appear in the subsystem:
- Scheduled Training tab - shows users who have scheduled training.
- Upcoming Expiries tab - displays a list of users with qualifications approaching expiration.
Users with the ‘Manage Cases’ access right can edit certain fields within these tabs, allowing bulk updates without needing to visit individual training records. Users with See Currency access can view these tabs, but cannot make any edits.
Using the Scheduled Training tab
The Scheduled Training tab allows you to:
- View all users with scheduled training.
- Use filters to narrow down the list by criteria such as:
- Department
- Name
- Specific qualifications
Using the Upcoming Expiries tab
The Upcoming Expiries tab displays users with qualifications that are nearing expiration. You can also filter this list to view only users with qualifications that do not yet have scheduled training.
