Once the checklist area has been completed you can use this audit.
1. Head to the Compliance dashboard area and select the view third parties’ link
2. If not starting from the checklists page, click on the ‘Add Third Party Organisation’ button
3. Complete the Organisation Details section and select the Organisation Type for this organisation
4. Select the checklist type that you wish to use for this organisation from the Applicable Checklists
5. Click on the ‘Save’ button, after saving the checklist area displays a ‘Start’ button
6. Click on the ‘Start’ button
7. You can change any of the contact details if required, if ok to proceed click on the ‘Save’ button
8. Scroll down the page to locate the Third Party Audit section
9. Clicking on the ‘Send E-mail’ button will send you Checklist over to the Third party via a link. The Third party will be able to complete this audit directly in Centrik without having system access. As long as they retain the link, they can continue to update this audit.
The organisation being audited can use the link to answer your checklist questions, they can do this without access to Centrik.
Once all areas have been completed the organisation clicks on the ‘Save’ button
The audit team can track the progress of the audit through this screen, including sending out a reminder email if required.
‘View’ allows you to view the answers to the audit checklist. Findings, Actions and Comments can be added via this area.
10. Scrolling to the bottom of the page the audit team can make their assessment based on the provided answers. Clicking on the Assessment area displays the possible options available, followed by clicking on the ‘Save’ button
11. Once all of the information that is required has been processed you can decide to use this organisation based on the answers provide, escalate, or not to use, you then close the audit using the ‘Close Audit’ button
The completed audit can then be viewed on the dashboard page.
Clicking on the view third parties link displays further information regarding the audits that have been conducted and their Assessment rating.
Suspend Function
The “Suspend” function in the 3rd Parties details view temporarily removes a 3rd party from the Active Audits (Third Parties) view in Centrik. While suspended, the organization will not appear in the Active list of Organizations in the subsystem. This function is useful when an organization is not currently in use and has no ongoing audit requirement, but may return to service in the future. If/when they return to service, the organization can be unsuspended (remove suspension), allowing audits to be scheduled and conducted again.
